Who we are

Green Ritual is a cleaning booking platform operated in the United Kingdom. For data protection purposes, we are the controller of your personal data.

What we collect

• Identity and contact: name, email address, phone number
• Booking details: address, postcode, cleaning date and time, service type, access instructions, special requests
• Payment information: processed by Stripe; we do not store your card details
• Communications: SMS and WhatsApp messages sent to you (including delivery status), contact form submissions
• Voice booking: your phone number, call recordings, transcripts, and information you provide during the call. Calls are processed by our voice AI provider (Retell AI) which is GDPR compliant and SOC 2 Type II certified.
• Technical data: IP address (for fraud prevention and rate limiting)

For cleaners applying to join: we also collect identity documents (passport or driving licence), right-to-work documents (visa or share code), proof of address, date of birth (for right-to-work verification), and e-signature data.

How we use your data

• Provide our service: process bookings, match you with cleaners, send confirmations and reminders
• Communications: operational SMS and email about your booking, respond to enquiries
• Payments: process payments and refunds, apply discounts and loyalty credits
• Fraud prevention: rate limiting, detecting suspicious activity
• Legal compliance: respond to legal requests, maintain records for tax and accounting
• Service improvement: resolve disputes, understand service issues

Lawful bases

• Contract: to perform our booking service and process your payment
• Legitimate interests: fraud prevention, improving our service, resolving disputes
• Legal obligation: keeping records for tax and accounting, responding to lawful requests
• Consent: where you have given consent (e.g. cleaner application marketing contact preference)

Who we share your data with

• Cleaners: your address, phone number, and booking details so they can provide the service
• Stripe: payment processing (email, booking reference, amount)
• Twilio: SMS and WhatsApp delivery (phone number, message content)
• Retell AI: voice booking calls (phone number, call content)
• Ideal Postcodes: address lookup (postcode, house number)
• Resend: email delivery for admin alerts and contact form
• Supabase: database hosting and file storage
• GOV.UK: right to work verification (share code, date of birth)
• Vercel: website hosting

We do not sell your personal data.

International transfers

Some of our service providers are based outside the UK (including in the United States). Where data is transferred internationally, we rely on safeguards such as standard contractual clauses or the provider's participation in recognised frameworks. You can contact us for more information about specific transfers.

How long we keep your data

• Booking records: kept for as long as needed to fulfil the booking and handle disputes, then retained for up to 6 years for legal and accounting purposes
• Communications: kept for operational and support purposes, typically deleted after 2 years unless needed longer for disputes
• Voice call recordings: stored by our voice AI provider for up to 30 days for quality and dispute resolution, then automatically deleted. We do not store recordings on our own servers.
• Cleaner documents: kept for the duration of the working relationship plus 2 years, as required by UK right-to-work regulations
• Contact form messages: kept as long as needed to respond, then deleted

Our service providers may retain data according to their own policies.

Your rights

Under UK data protection law, you have the right to:

• Request access to your personal data
• Request correction of inaccurate data
• Request deletion of your data (subject to legal retention requirements)
• Object to or restrict certain processing
• Request data portability
• Withdraw consent where processing is based on consent

Cookies
